Accountable plan setup for S-corp Airbnb hosts

If you pay for your phone, your mileage or a home office yourself, your S-corp can pay you back without it counting as wages. That only works under an accountable plan. I set one up with you, plus the expense report and routine that keep it working.

Starting at $149, one-time setup.

"Can my S-corp pay me back for my phone, mileage and home office?"

Yes, if the reimbursement runs through an accountable plan. Under IRS rules, amounts paid under an accountable plan are not wages and are not subject to income, Social Security, Medicare or FUTA taxes. To qualify, the arrangement must require all three of these:

1

A business connection

The costs were paid while doing work for the S-corp, such as driving to your rentals.

2

Proof, on time

You account for the costs to the S-corp with receipts or logs within a reasonable period.

3

Excess returned

Any amount paid beyond what you proved goes back to the S-corp within a reasonable period.

What "reasonable period" means

The IRS generally treats it as reasonable if advances come within 30 days of the cost, you account for costs within 60 days, and you return any excess within 120 days. A quarterly statement method also works.

What happens without one

Payments for expenses that are not substantiated are treated as paid under a nonaccountable plan. Those are wages, subject to income, Social Security, Medicare and FUTA taxes.

What it looks like in practice

Most hosts don't fail the rules on purpose. They pay a flat amount "for expenses", skip the log, or reimburse once a year from memory. A plan only helps if the monthly habit is simple enough to keep.

What's included

  • A written accountable plan for your S-corp, in plain English
  • A monthly expense report template: mileage log, phone and home office worksheet
  • Your books set up to record reimbursements correctly
  • A walkthrough call so you know exactly what to do each month
  • A check of your first expense report

Who it's for

S-corp owners who pay business costs personally: driving to properties, a phone used for guests, a home office used for the business.

Not a fit if

Your rentals are not in an S-corp or other corporation. Owners of single-member LLCs taxed as sole proprietors deduct these costs differently.

Accountable plan questions

Do I need the plan in writing?

I always put it in writing. A written plan shows anyone who asks what the rules are and that you followed them.

Can I reimburse myself for costs from earlier in the year?

We set the plan up going forward and look at earlier costs case by case, because the timing rules matter. Bring your records to the free call.

Is the reimbursement taxable to me?

Not when it is paid under an accountable plan that meets the three rules. That is the whole point of setting one up.

I also have a W-2 job. Does that change anything?

No. The plan covers costs you pay for your S-corp's work, not your day job.
