Bookkeeping for convenience stores

Daily sales, sales tax, inventory, lottery and fuel, recorded the way a convenience store actually runs. Books that match your register reports and your bank, so sales tax is right and you can see your true margins.

Monthly bookkeeping starting at $97 a month.

Convenience store bookkeeping problems I see

  • Daily register reports never matched to bank deposits
  • Sales tax collected but recorded as income
  • Lottery sales counted as store revenue
  • Inventory purchases with no cost of goods sold tracking
  • Cash shortages that nobody can explain
  • Card fees, ATM and money order activity lumped together

Who I work with

Independent convenience stores, corner markets, gas station stores and small grocery stores, single or multiple locations.

What's included

  • Daily sales from your point-of-sale reports, matched to deposits
  • Sales tax separated from revenue and tracked for filing
  • Lottery sales and settlements kept separate from store sales, with commissions recorded
  • Inventory purchases and cost of goods sold tracked
  • Fuel sales and costs tracked separately, if you sell fuel
  • Cash over and short tracked by day
  • Card processing fees and vendor payments categorized

Margins by category

Groceries, tobacco, beverages and fuel carry very different margins. Tracking them separately shows where you make money.

Inventory counts

A periodic count lets cost of goods sold, and your margin, reflect what was actually sold.

Hypothetical example

Lottery is not your revenue

A store sold $10,000 of lottery tickets in a month and earned a commission.

Lottery ticket sales (owed to the state lottery)$10,000
Commission earned by the store$500
Store revenue from lottery$500

Made-up numbers; commission rates vary by state. Counting the full $10,000 as sales overstates revenue and confuses sales tax.

Convenience store questions

Do you file my sales tax returns?

I prepare the sales tax numbers from your books and can file where you give me access. Rates and rules depend on your state and city.

How often should inventory be counted?

At least at year end for tax purposes; monthly or quarterly counts give better margins.

Can you handle multiple stores?

Yes. Each store gets its own profit and loss.

What about tobacco and alcohol?

Excise taxes and licenses vary by state. I track related costs separately and flag filings you may need.
